How AI Document Processing Works

Step 1: Document classification

The AI system automatically recognizes the document type: is it an invoice from supplier X, a contract from customer Y, or a form from the Tax Authority? This works for scanned documents, PDFs, Word files and email attachments.

Step 2: Data extraction with OCR and NLP

Advanced Optical Character Recognition (OCR) combined with Natural Language Processing (NLP) extracts all relevant fields: invoice number, date, amounts, VAT numbers, supplier details. The system understands context, not just positions on the page.

Step 3: Validation and verification

The AI system validates extracted data against existing systems: is the VAT number correct? Does this supplier exist in our system? Is the amount within the expected range? Deviations are flagged for human review.

Step 4: Automatic processing

Validated documents are automatically processed in ERP systems (SAP, Microsoft Dynamics, Exact), CRM systems or document management systems. The employee only receives the exceptions.

OCR turns an image into text. AI document processing goes further: it determines what the text means and where it belongs — this is an invoice number, this is an amount, this is the supplier — even when the document is laid out differently from the last one. OCR gives you text; document processing gives you fields.

Which documents can be processed automatically?

It works best on documents with recognisable structure and high volume: invoices, receipts, delivery notes, forms and standard contracts. Free text without fixed fields, such as correspondence, returns less.

How accurate is automated document processing?

That depends on document quality and how many variants you have, so a general percentage says little. What always holds: you must set a confidence threshold below which a human looks. A system that never hesitates is suspect, and without a review step errors enter your records unnoticed.
