What exactly is an AI agent?
An AI agent is a software system that independently executes tasks, makes decisions, and takes action based on instructions and context. Unlike a regular chatbot that only responds to questions, an AI agent can act proactively: follow up a lead, schedule an appointment, generate a report, or handle a complaint without any human involvement.
The difference is fundamental. A chatbot waits for input. An AI agent works toward a goal.
What tasks can an AI agent perform?
The most valuable applications we see at Dutch businesses:
Lead follow-up and qualification: The agent receives a new lead, sends a personalized message within 90 seconds, asks qualifying questions, and automatically schedules a call if the lead meets the criteria. No manual work, no leads falling through the cracks.
First-line customer service: The agent answers 60-80% of incoming questions fully automatically. Complex questions are forwarded to a team member, including a summary of the conversation and relevant context.
Quote and contract processing: The agent collects the necessary information from the client, generates a quote based on your rates and parameters, and sends it for approval to the right person.
Internal reporting: The agent pulls data from your systems daily, analyzes trends, and sends a concise report to management every morning. No more manual compilation.
New client onboarding: The agent guides new clients step by step through the onboarding process, sends the right documents at the right time, and escalates to a team member if questions arise that fall outside the script.
What does it cost to build an AI agent?
This is the question most business owners ask first, and the honest answer is: it depends significantly.
A simple AI agent for one specific task, such as automatically answering frequently asked questions via email, typically costs between €3,000 and €8,000 to build. Including integration with your existing systems and a testing period.
A more complex agent that combines multiple tasks, such as lead follow-up plus appointment scheduling plus CRM updates, is more likely in the range of €10,000 to €25,000.
A fully automated system that combines multiple agents and deeply integrates with your business processes can run to €40,000 or more.
But the question is not what it costs. The question is what it delivers.
How do you calculate the ROI of an AI agent?
The calculation is simpler than most business owners think. Take lead follow-up as an example:
- Average 50 new leads per month
- Current follow-up time: 4 hours per week from a team member (€35/hour)
- Inbound lead conversion rate: 12%
- Average order value: €4,500
With an AI agent that follows up every lead within 90 seconds:
- Time savings: 4 hours per week = €7,280 per year
- Higher conversion through faster follow-up: from 12% to 17% = 2.5 extra clients per month = €135,000 extra revenue per year
An investment of €12,000 delivers more than €140,000 per year in this scenario. The payback period is less than one month.

When is an AI agent the right choice?
An AI agent is the right choice when at least two of the following conditions are met:
1. The process is repetitive. The same steps, the same questions, the same actions repeated over and over.
2. Speed matters. Leads that are followed up quickly convert better. Customers who get fast answers are more satisfied.
3. Scale is a challenge. The process already takes too much time, or you expect volume to grow.
4. Consistency is valuable. Giving every customer the same experience, regardless of who is on duty or how busy it is.
If you can name a process where all these points apply, an AI agent is probably one of the best investments you can make this year.
When is it too early?
An AI agent is not the right choice if the underlying process is not yet standardized. If your team members execute the process differently each time, or if there are still many exceptions that require manual judgment, then you are building an agent on an unstable foundation.
The rule of thumb: if you cannot explain the process to a new employee on a single page, it is not ready for automation.
